The Benefits of Writing with Proper Spelling and Punctuation

In my view, writing with good spelling and proper punctuation is not just about aesthetics. It is how I ensure that the message I am conveying can be understood clearly and with minimal ambiguity. Using uppercase and lowercase letters correctly, along with well-placed punctuation, is essential for maintaining the clarity of a message.

So why do I write this way:

Making Messages Easier to Understand

Writing with correct spelling, including capitalizing the first letter of a sentence or a person's name, serves a clear purpose. Capitalizing someone's name is not merely a rule. It also shows respect for the person being mentioned. When we pay attention to these details, we work to reduce any confusion that might arise. Writing someone's name in lowercase, for instance, can come across as careless or even disrespectful.

Preventing Ambiguity

Punctuation marks like periods, commas, and slashes (/) are often overlooked, but they play a very important role. I tend to pay close attention to how slashes and parentheses are used, because they carry different meanings. A slash is often used to indicate alternatives or options (for example: "you/can"), while parentheses are used to add supplementary information that is not essential to the main point.

Using punctuation accurately ensures that readers do not need to reinterpret the writer's intent, which ultimately saves time and energy in communication.

Other Benefits of Writing with Proper Spelling and Punctuation

Beyond reducing ambiguity, there are other benefits I find equally important:

1. Communication Efficiency: By conveying a clear message from the start, I can avoid the need for additional explanations or follow-up clarifications. This is especially important in professional settings, where time is valuable.

2. Professionalism: In formal contexts, using proper spelling and punctuation demonstrates professionalism. People who read our writing will notice that we pay attention to detail, which can increase their confidence in our competence.

Making an Effort to Be Less Formal

That said, I am also aware that writing in a very formal style is not always appropriate for every situation. Over the past few years, I have been trying to be more relaxed and informal, especially in everyday conversations or when communicating with family and friends. I feel I have made significant progress in this area. I am more flexible now and can adapt my writing style to the context, without sacrificing clarity. This is something I continue to work on so that my communication feels more connected to the reader.

In chat conversations, for example, I have started reducing formal punctuation like strict semicolons. This allows messages to feel more casual, without coming across as stiff, while still being effective.

Punctuation as a Road Sign

Proper punctuation can be compared to traffic signs on the road. Imagine driving on a road with no clear traffic signs. There would be accidents and confusion everywhere. Written communication works the same way. Without clear punctuation, messages can be misunderstood, leading to unnecessary problems in both personal and professional communication.

The Downside of This Habit

That said, despite valuing precise writing, there are a few downsides:

Being Too Formal in Informal Situations: Sometimes I carry this habit into more casual conversations, like those with family or friends. This can feel overly stiff for the other person.

Requires Extra Time: Writing while paying attention to every piece of punctuation and spelling naturally takes longer, especially in fast-paced conversations. I try to manage this by improving my typing speed, particularly on a laptop or physical keyboard. On my phone, I use swipe keyboards on Google Keyboard and the iPhone's native keyboard to speed things up.

My Take

Writing with proper spelling and punctuation is a habit I genuinely find valuable. Despite a few downsides, like coming across as too formal in casual situations or taking more time, I believe the benefits far outweigh them. Writing with precision helps deliver messages more effectively, efficiently, and respectfully. It is not just about following rules. It is about ensuring communication runs clearly and smoothly.

But don't worry, I'm not that rigid. Just look at the title. It was intentionally misspelled. Hehe.
